1. Booking Procedure
1.1 Browse through our villas portfolio and select the villa or villas that suit your requirements.
1.2 Complete the enquiry form. The more information you provide the more suitable our recommendations will be.
1.3 Once we receive your enquiry we will check availability of the villa. We will notify you of the property’s availability and provide the booking price.
1.4 If you decide to proceed with the booking we require a 30% non refundable deposit to confirm the booking (except for bookings made less than 10 weeks prior to the arrival date (See 1.5). Once we receive your non-refundable deposit we will confirm the booking, notify you of the remaining balance and when payment is due. The balance payment is due 10 weeks prior to the arrival date. Please note that the booking is not confirmed until we have received this deposit or full payment (See 1.5). Some villas might require a 50% deposit depending on the season.
1.5 Full payment is payable for bookings made less than ten weeks prior to arrival.
1.6 We will send written confirmation of your booking which serves as a legal rental agreement/contract.
1.7 We will require the names and ages of all the members of your party and your residential address. The lead tenant certifies that he/she is authorised to agree to our terms on behalf of all persons included in the booking, including any persons who may be substituted/added at a later date.
1.8 The lead tenant must be a member of the party occupying the villa and must be over 18 years of age.
1.9 Please notify us in writing if you have any special requests at the time of making the booking. All special requests are subject to availability and are not part of our contractual obligations unless specified.
2.1 Luxury Goa Villas processes all client enquiries and administers the booking procedure.
2.2 The prices quoted on our website are for a rental period of one week. For part weeks thereafter the rate is calculated on a pro rata basis. The minimum rental period for most of our villas is 3 nights.
2.3 Where a rental period spans two pricing seasons the price prevailing for the majority of the week is the price that will be applied for the entire week. Exceptions may apply.
2.4 All prices on our website say “From…..”. This is to account for currency fluctuations, special offers options, seasonal variations and other factors.
2.5 We will allow 7 working days from the date of your reservation for payment to reach us, after which we may release your reservation.
2.6 The full balance is due no later than 10 weeks prior to arrival at the villa.
2.7 Bookings made within 10 weeks of arrival must be paid for in full.
2.8 If the balance is not paid within 10 weeks prior to arrival we reserve the right to cancel the booking and the deposit is forfeit.
2.9 Payments may be subject to a £20 surcharge (conditions apply) to cover international bank fees. Credit card payments are subject to a 4% surcharge.
2.10 We accept payments in Indian rupees from Indian residents. Payments can be deposited at any HDFC bank in India or remitted to our account at HDFC in Goa. There is no surcharge.
2.11 Credit card payments. We accept Mastercard and Visa only. There is a credit card surcharge.
2.12 All prices published on this website are subject to change without prior warning.
3. Security Deposits
3.1 A security/damage deposit is required to cover the unlikely event of damages or breakages. The terms of payment and the amount vary according to individual booking circumstances. This is payable in cash only at check-in and will be returned at check-out less the cost of any damages. Credit and debit cards are not accepted for the security deposit.
3.2 We reserve the right to retain the security deposit to pay for damages, breakages or thefts during your stay at the villa. Should the security deposit prove inadequate to fully cover the costs that may arise, we reserve the right to invoice you for the balance within 30 days of the end of the rental period, or at such other time to allow the total cost to be determined.
4. Cancellation of the booking by you
4.1 The lead tenant must provide written confirmation of cancellation. The cancellation will come into effect once it is received by us.
4.2 A cancellation fee will apply as follows:
more than 70 days prior to arrival – deposit only.
36-69 days prior to arrival – 50%
35 days prior to arrival – 100%
4.3 We reserve the right to reduce the cancellation fee at our sole discretion.
5. Cancellation of the booking by us
5.1 In the unlikely event that we have to cancel your reservation we shall make every effort to make alternative arrangements. If we are unable to find alternative arrangements, we will refund your full payment.
6. Cancellation of the booking by the villa owner
6.1 In the unlikely event that the villa owner has to cancel the booking through circumstances beyond the villa owner’s control the villa owner will refund to the lead tenant any rental amount paid.
6.2 If the cancellation or any loss or damage arises due to force majeure such as acts of God, strikes, industrial actions, war disturbances of any type, government actions etc, neither the villa owner nor the agent shall be made liable.
6.3 If your booking is cancelled we cannot be held responsible for the cancellation or your flights or any travel expenses. When you book your travel arrangements they are your responsibility.
7.1 In compliance with Indian law we require the following (as in 7.2 and 7.3):
7.2 For Indian Nationals: Each member of the party should bring ID proof and a photocopy of either of these: ID card, Passport, Driving License, PAN card.
7.3 For Non Indian Nationals: Each member of the party should carry their passport containing a valid Indian visa including a photocopy of the picture page and visa page.
8. Construction/Refurbishment Work
8.1 Should we receive notification of any construction or refurbishing work adjacent to your villa we will inform you as is reasonably possible. General property refurbishment may also go on. If we consider any of this work could affect your holiday enjoyment we will make every effort to provide you with an alternative villa from our portfolio.
8.2 If we are unable to provide you with an alternative villa from our portfolio we will reimburse you provided the arrival date is 60 days (or more) prior to your planned arrival date. We are not liable for the charges incurred for re-arranging your travel plans.
8.3 If new noise pollution starts near your villa after your arrival we cannot be held liable provided it is clear there was no noise when you checked in.
9. Service suppliers
9.1 Clients should use their own judgement in choosing which services they opt for. We cannot be held liable for the quality and/or safety of the services chosen by the client.
10. Arrival and departure
10.1 In order to help with a smooth handover check-in time is 14.00 hrs and check-out is 11.00 hrs.
10.2 If these times cause you difficulty, please advise us at the time of booking. We will not be able to guarantee any changes can be made after the booking. Check-in and check-out times may be flexible to suit your travel plans but this depends on other guests checking-out on the day of your arrival and guests checking-in on the day of your arrival. Please check with us before confirming your travel arrangements.
10.3 For arrivals at the villa before 07:00 the booking must be made and held from the night before. For morning check-in after 07:00 there may be an additional charge which is determined by the check-in time.
10.4 Upon your departure from the villa it is your responsibility to return all keys and remote controls for appliances that belong to the villa. You will be charged a replacement value of lost items which will be deducted from the security deposit.
11. Sound Pollution & Behaviour
11.1 The sound pollution law in India is very strict. It is prohibited by the law to play loud amplified music outside after 22:00. The tenant must accept responsibility not to act as a nuisance or annoyance or cause damage to the premises or adjoining premises. The tenant and guests are not permitted to use the property for illegal or immoral purposes. If we consider the villa is being misused for ‘parties’ the tenant and all the guests may be required to vacate the property.
11.2 If, in our opinion or the opinion of the villa owner, any guest appears to be behaving in such a way as to cause, or likely to cause, danger, distress or annoyance to any individual, or damage to the property, we may terminate the contract and you will be required to vacate the property immediately. You will not be entitled to any refund.
11.3 The use of drugs is against the law in India. If any guest is found to be using drugs you will be required to vacate the property immediately. You will not be entitled to any refund.
12.2 If you have provided your email address to us, we may send you emails. These emails may be based on personal information you provided in your initial transaction with us. When we send you mail, we may use your email address to identify information about your receipt of the email, including whether the communication was opened, how many times it was viewed and whether you clicked on an embedded hyperlink to reach a particular product or service. This information is used to measure response rates to email communications as well as enhance your site experience.
12.3 Information you supply to us will not be passed to any third party. We may share personal information with law enforcement agencies in the event of a criminal investigation or suspected illegal activity.
12.4 We value opinions and comments from customers of Luxury Goa Villas, and you may have the opportunity to give us your feedback via a feedback form. Information thus collected will be used to make improvements to the services provided by the agent and villa owners. Participation in filling out the feedback form is completely voluntary and you therefore have a choice whether or not to disclose the required information.
13. Website Accuracy
13.1 We have described the villas and surrounding gardens and vicinity upon our inspection of the properties. We have attempted to describe the atmosphere, facilities and layout of the properties as per our observations. Small differences between the property and its description may occur and we cannot be held responsible for differences in opinion in regards to the condition of the property.
13.2 The villas are privately owned and at times furnishings and equipment might be replaced for various reasons and will not be reflected on our website.
13.3 We will not be held responsible should villa facilities undergo modification or become unavailable due to problems outside our control like local civic issues of water, electricity and/or fuel shortages. Should we receive prior indication of any change in facilities we will notify you as soon as is reasonably possible. This will not constitute reasonable grounds for cancellation of your booking.
14. Our Liability To You
14.1 Luxury Goa Villas acts as an agent for villa owners and cannot accept any liability for any act(s) or omission(s) of the owner and/or their staff.
14.2 If you have any complaints regarding any services we provide before you arrive at the villa (as opposed to any provided by the owner), you must inform us immediately. Our maximum liability to you if we are found to be at fault in relation to any service we provide (as opposed to any service provided by any third party such as an owner for whom we are not responsible) is limited to the commission we have earned or are due to earn in relation to the booking in question. We do not exclude or limit any liability for death or personal injury which arises as a result of our negligence or that of our employees whilst acting in the course of their employment.
14.3 The villa may have dangers such as swimming pools, steep steps, unfenced drops and undulating gardens. We do not describe any villas as being totally child friendly. Swimming pools are used at your own risk. You accept complete liability for any accidents caused by or arising out of your own negligence, misuse of the villa or failure to comply with local laws and regulations, including any caused due to alcohol and/or any drugs or medicine of any kind.
14.4 We do not accept any liability for any loss or damage to your property or for any distress howsoever arising.
14.5 We are not liable for faults, damage, failed systems, villa staff behavior whilst you are staying at the villa. We are not liable for government power supply failure and/or the failure of back-up power systems provided by the villa owner or the failure of generators provided by the villa owner.
14.6 We are responsible for the service we provide up to your arrival at the villa. If any issues arise during your stay at the villa they should be raised with the villa staff directly. If the villa staff are unable to resolve your issue our team is available 24/7 to help.
15. Access To The Property
15.1 The agent may visit the property only if the tenant is informed in advance and the date and time is agreed, except when any complaint is made by neighbours, staff members or the local police etc. If the agent receives information that persons, other than those guests mentioned above, are occupying the property, the agent has the right to visit the property without any prior appointment.
15.2 Only the guests booked into the villa have access to the villa. If guests would like to invite non residents to visit the villa it may be possible but only with prior agreement with the agent or villa manager. It is prohibited for non residents to visit the villa without prior agreement.
15.3 Prior to your departure, the owner or their representative shall be allowed access to inspect the property. They also have a right to access the property during your stay if urgent maintenance is required.
16. Passports, Visas & Health Requirements
16.1 It is your responsibility to ensure that you have a valid passport and visa (if applicable).
16.2 It is your responsibility to ensure your passport and travel documents are intact. You may not be able to travel if they are damaged or they have been tampered with. We are under no obligation to assist you if you are refused travel.
17.1 We recommend all members of your party have their own comprehensive travel insurance. Please consult your travel agent or insurance company. We do not offer insurance services and the villa owner’s private insurance does not cover guests. We cannot be held responsible for problems arising out of the organisation of your insurance.
17.2 The tenant’s belongings, furnishings or equipment within the premises are his/hers responsibility and are not covered by any insurance policy maintained by the villa owner.
18. Government Taxes
18.1 Prices are subject to central and local government taxes and conditions apply. The tax rates can change according to government notification. If the government changes a tax rate or introduces a new tax this will be reflected in the rental price. If there is an increase in a tax rate we are required to increase the price without notice.
18.2 If a tax rate increases after the time of a booking payment and before check-in the new tax rate will apply and will be payable.
19.1 If you do not accept, agree to, or comply with our terms and conditions laid out above we reserve the right to cancel your booking. If you are already in residence in one of our villas and do not comply with our terms and conditions you may be required to vacate the property immediately. In both cases you will not be entitled to any refund.
